Paste the case notes
Copy the full case notes from FreshBooks and paste them in the box. Click Extract & Generate SMS — the AI reads the notes and pulls the case number, address, signing date, time and fee automatically.

Review the message
The availability message is built for you. Read it to make sure the address, date and fee look right. The ZIP is filled in automatically for the search.

Pick source, search & send
Choose 🌴 Florida DB for in-state cases or 🌎 Nationwide for out-of-state. Confirm the ZIP, click Search, then Send SMS next to each notary you want to offer the case to.
💡 Good to know
- Send to several notaries for the same case — the first one to complete the NCC takes the job.
- The notary receives the case details and a link to the Notary Code of Conduct (NCC); completing it confirms they accept.
- The green ✅ means the text was sent. A red ❌ usually means that notary has no valid phone on file — just move on to the next one.
- 🌴 Florida DB = our 8,798 opt-in notaries. 🌎 Nationwide = live Google search for out-of-state cases (cold contacts — see the orange note before sending).
- If a ZIP returns no results, try a nearby ZIP in the same area or widen the radius.
- The default fee is $80. If the notes mention a different fee, the AI will use that instead.

⚠️ Nationwide = cold contacts. These notaries come from a live Google search and have not opted in. Contact them to coordinate the signing, but do not mass-blast — sending many cold texts can hurt our 10DLC standing (campaign CP9BWSQ). Once a notary agrees to work with us, add them to the Florida/opt-in network.
